Most employees never look at their EPFO records until they try to withdraw money. That is when errors that have been sitting for years stop the process cold. The fix is a 15-minute quarterly check on the EPFO portal.
Start with the Service History tab. It lists every employer linked to your Universal Account Number (UAN). Check that all past employers appear with correct joining and exit dates. A missing record means that employer's contributions are not visible to EPFO. That will block a transfer or withdrawal.
Next, the KYC section. Aadhaar and PAN details must match exactly. Separately, check that the bank account on file is still active. Many delays come from a closed account still listed or a misspelled name. Correct those before filing a claim.
The e-Nomination form lets you update who gets the balance if you die. Outdated nominations can force family members into a drawn-out settlement process. Update it after marriage, childbirth, or divorce.
The EPFO passbook shows monthly contributions. Scan for gaps or missing deposits. If an employer stopped contributing for a few months, the record will show it. Address that with the employer before it becomes a problem.
Transfer claims from old employers should be tracked. Staying logged onto the portal shows whether the balance moved. Multiple dormant accounts increase the chance of mistakes.
Finally, keep your mobile number current on the UAN. The portal sends OTPs and status updates to that number. A dead number locks you out.
A 15-minute check each quarter catches these issues while they are still fixable. Wait until you need the money, and the same issue becomes a month-long delay.
